Help
The Tweens app helps mentors plan the gatherings, keep track of tasks, children and photos, and reach parents and tweens. Here is an overview of what it can do, and answers to common questions.
Log inGetting started with a new group
- 1The main admin creates the group and makes one or two mentors group admin (group leader). The group admin adds the other mentors with name and email under People – they get access as soon as they log in with the same email.
- 2The group admin sets up the term under Plan: dates, times and place. Gatherings that aren't settled yet stay as proposals until they are confirmed.
- 3The group admin fills in Settings: connects the Telegram groups with the /koble code, and adds the accounting email and budget for expenses.
- 4Each mentor logs in (fastest with Google), adds a photo of themselves on My page, and takes tasks for the gatherings.
- 5Add the children under People → Parents and consents (“New tweens”), and share the link with the parents for each child. They add a photo, birthday and contact info, and answer the consents themselves.
What the app can do
My page
Your start page after logging in – everything that concerns you.
- The next gathering with “Are you coming?” – press “7 mentors coming” to see who's coming. Your tasks and open tasks in the group.
- Photos from the last gathering, with “Add photos” and “Send expense” right after the gathering.
- The challenge of the week, your name training, the theme you're preparing, your photo, and your expenses with account number and signature.
Gatherings
The plan for the term as everyone sees it.
- Each gathering has a theme, activity, time, place and programme. Take a task with “I'll take this”, and tick “I'm prepared” when you're ready.
- On the gathering page you plan the theme part and the activity part, with responsibilities, equipment and attachments. AI can suggest a programme based on the theme.
- If you can't make it after all, press “I can't” on your task – the others then see it needs a swap and can take it.
- After the gathering: upload photos, and send an expense claim for what you paid.
Plan
The group leader's tool for setting up and changing the term.
- Add dates in one go, mark gatherings as proposals until they are confirmed, and move or delete them.
- Choose a theme from the theme bank and an activity from the idea bank, and see who has taken which tasks.
- Copy the link to the plan for the mentors, and the share link for parents and tweens.
People
The children, mentors and parents in the group.
- Children with name, photo, gender, where they live and a fun thing to remember them by.
- Learn the names: name training with cards that come back until you know them – and a challenge you can send to another mentor.
- Parents and consents: contact info for the parents, what they've agreed to, and “anything we should know” (e.g. allergies). The group admin shares the link with the parents and adds new tweens.
- Carpooling: who lives near whom, for arranging lifts.
Photos
Albums from the gatherings – only for the mentors in the group.
- Upload many photos at once from your phone. A large photo opens in a window – arrow keys or swipe to browse, Esc to close.
- The presentation for the first gathering shows the children and mentors with names, for the big screen.
- “The term in pictures” is a slideshow of all the photos in the period – nice as a finale to the term.
- Children whose parents don't want them in photos are listed under People → Parents and consents. The photos are deleted automatically when the season is over.
Challenge
The challenge of the week for the tweens.
- Each week has a responsible mentor who chooses the challenge (from the catalogue or their own), sets a prize and presses “Confirm”. Proposals aren't sent until they're confirmed.
- The bot sends the challenge to the tweens at 8 on the day the week starts. “Ask … to choose the challenge” sends the responsible mentor a message with a link straight to their week.
Themes, Materials, Idea bank and Quiz
The content you can use at the gatherings – shared by all groups.
- Themes: ready-made theme packs with Bible verses, discussion guides and links to BCC Media. Choose a theme for the gathering and the material comes with it.
- Materials: videos, songs and documents, sorted by theme and type.
- Idea bank: activities and games with equipment lists and experiences from other groups. Add your own ideas so everyone benefits.
- Quiz: make a quiz (with AI suggestions if you like) and press “Start quiz on the big screen” – the tweens answer on their phones with a code.
Telegram
The messages to mentors, parents and tweens.
- The programme and the “Are you coming?” poll are sent automatically a few days before each gathering, with a reminder. The group admin chooses when and what per chat under Settings → Telegram.
- “Send now” shows the message as it will look in Telegram before you confirm. The answers to the poll come back to the app.
- Birthday greeting: the bot congratulates in the tweens group at 8 on the day, with the first name – only when the parent has said yes. Otherwise messages from the app never contain children's names or photos.
Expenses
Get back what you paid – without a paper form.
- Press “Send expense” on the gathering and take a photo of the receipt (or choose a PDF). AI reads the shop, amount and date – you check and correct.
- The app creates the “Expense reimbursement” form with the receipts attached, and emails it to accounting – with you in copy.
- The first time you enter your account number and draw your signature. The group admin sees all expenses and how much of the year's budget is spent.
Settings
For the group admin: everything about the group.
- The group (name, season end, language and country), the Telegram chats and the /koble code, expenses (accounting email, budget, deletion) and the share link.
Admin
For the main admin: groups, users and access.
- Groups with season end, language and country. Children and photos are deleted automatically when the season is over.
- Users: search, add to a group, make group admin (“+ admin”). Plus the Telegram chats, submissions to the idea bank and the log of who did what.
Questions and answers
How do I take a task for a gathering?
On My page or on the gathering: press “I'll take this” on theme, activity or snacks. It shows how many places are free. When you've prepared, press “I'm prepared”.
I can't make it after all. How do I swap?
Open the gathering and press “I can't” on your task. It then shows “needs a swap”, and the other mentors can take it. Feel free to say so in the mentor chat too.
How do I say whether I'm coming to the gathering?
Press Coming / Maybe / Not coming on My page or on the gathering. If you answer the poll in Telegram, that counts too. Press “… mentors coming” to see who's coming.
I'm doing the theme. Where do I find material?
Open the gathering and press the theme, or go to Themes. There you find Bible verses, discussion guides and material. On the gathering page you can plan point by point, and AI can suggest a programme you can edit.
I'm doing the activity. Where do I find ideas?
Press “Choose from the idea bank” on your task. The idea bank has activities with equipment lists and experiences from other groups – and you can add your own ideas afterwards.
How do I get back money I've paid?
Press “Send expense” on the gathering (or on My page) and take a photo of the receipt – AI fills in shop, amount and date. The first time you enter your account number and draw your signature. The app creates the form and sends it to accounting, with you in copy.
I have several receipts – do I send one expense per receipt?
No. Add all the receipts from the same gathering to the same expense (up to 10). Each becomes a line on the form, and all are attached to the same PDF.
How do I know the expense was sent – and when does the money come?
You get the email in copy, and the expense shows as “Sent to accounting” on My page. Accounting pays to the account number on the form. When the money has arrived, press “Money received”. If something went wrong, you can send the email again.
Where do I change my account number or signature?
On My page, in the Expenses box → “Account number and signature”. The change applies to expenses you send afterwards.
How do I add photos from the gathering?
On My page the day after, or on the gathering page under Photos. Choose many photos at once – they are shrunk on your phone before upload, so it's quick.
Who sees the photos of the children?
Only logged-in mentors in the same group. The parents decide themselves whether the child may have a photo in the app and be in photos from the gatherings. Everything is deleted automatically when the season is over, and the share link and Telegram never show photos of children.
How do parents and tweens see the programme without an account?
Give them the share link – it's under Plan and Settings, and is sent automatically with the message to the parents in Telegram. It shows date, time, place, theme and programme – not names, children or photos.
I've logged in but don't see a group. What do I do?
The group admin must add you to the group with the same email you logged in with. If you're already on the plan without an account, the place is linked to you automatically once your email is verified. Tell the group admin if that doesn't happen.
Can I use the app on my phone?
Yes, everything is made for mobile first. Add tweens.no to your home screen (Share → Add to Home Screen in Safari, or “Install app” in Chrome) and it behaves like an app.
How do I change language?
The language selector is at the top of the page. Your choice is remembered on your account, regardless of the group's language.
What does AI do in the app – and what does it get to know?
AI suggests quiz questions, theme programmes and challenges, reads shop, amount and date from receipts, writes birthday greetings and answers “?” questions about the app. A mentor reviews what it makes. The AI never gets children's names, photos of children or lists of children.
How do I delete my account or information about my child?
You can change a lot yourself on My page and under People. If you want the account or the child deleted completely, tell the group leader or send a note via “Suggestions for the app”. See also the privacy page.
I can't find what I'm looking for. Where do I ask?
Press “?” at the top of the page and type your question – you get a short answer with a link straight to the right page. If something is missing in the app, press “Suggestions for the app” at the bottom of the page.
